Workforce Management implementation

A time record, schedule change or missed approval affects more than one person. We work through how employees, managers, payroll and system administrators will handle those situations in your Workforce Management application.

  • Time and attendance. Translate approved pay policies into configuration and test the exceptions your team sees, such as missed punches, overtime and changes made after approval.
  • Scheduling. Review coverage needs, employee availability and applicable scheduling rules. Test how managers build and change schedules, and how employees use the processes in scope.
  • Payroll handoffs. Define the information payroll needs, when it is exchanged and who resolves rejected or incomplete records. Check the handoff against representative pay scenarios.
  • Labor planning. Where planning or forecasting is in scope, review the source data and assumptions with operations. Check how the results will be used before building them into staffing decisions.

HR and Talent implementation

HR and Talent processes depend on employee information being maintained in the right place and reaching the people who need it. We help your team work through those details across the applications and workflows in scope.

  • Core HR. Review employee and organization data, roles and approvals. Work through hires, transfers and other changes, including when an update takes effect and which systems need it.
  • Talent processes. Define the work recruiting teams, managers and employees need to complete. Depending on your selected applications, the scope can include recruiting and onboarding, performance reviews or employee development.
  • Connected information. Map the handoffs to workforce and payroll systems. Agree who owns the source record and how the team will identify and correct inconsistent data.
  • Everyday use. Test the tasks each role will perform. Prepare HR administrators and managers to maintain the processes after the project team hands them over.

EXPERIENCE APPLIED

Experience Applied through Agile delivery.

An application decision can change how a team works. Our consultants ask about the exception behind a rule, who will maintain a process and what a connected system needs from it.

Our Agile approach delivers working results in manageable cycles. Your team reviews the configuration and tests real scenarios; feedback shapes the next priorities. Scope and dependencies stay visible as decisions develop.

Keep everyday work in view.

Your team reviews each delivery cycle.

  1. Build
  2. Test
  3. Review
  4. Refine

From agreed scope to ongoing use.

  1. 01

    Agree the work

Confirm the applications and processes in scope, responsibilities and expected deliverables. Identify client decision owners and the information needed to begin. The project plan reflects that agreement.

  2. 02

Kick off with the people involved

Bring business owners and technical teams together to review the starting point. Work through dependencies, access and near-term decisions so the first delivery work has a clear purpose.

  3. 03

    Build and review in cycles

Configure, connect and test the solution in manageable pieces. Review working results with your team and agree the next priorities. Resolve open design questions while the people affected can assess the work.

  4. 04

    Prepare for go-live

Review testing evidence and user readiness. Plan the data and system transition, responsibilities and contingency arrangements. Make unresolved issues visible to the people who decide when to go live.

  5. 05

    Move into agreed support

Confirm ownership of the live solution and the support arrangements in scope. Stabilization and ongoing services are planned with you; future configuration changes and enhancements follow the arrangement you choose.

What the implementation work includes

Configuration is one part of the project. The agreed scope also needs to account for the information moving through the system and the people responsible for using it.

Requirements and design decisions

Review current processes with business owners. Document the rules, exceptions and approvals the application needs to handle. Separate requirements for go-live from work that can follow later, with decisions and ownership clear to both teams.

Application configuration

Build the settings and workflows in scope, then review them with the people who know the operation. Use working examples to check the design and identify where the configuration or a business process needs adjustment.

Integrations

Define the exchanges between HR, workforce, payroll and other connected systems. Specify the records, timing and validation each exchange needs, including what happens when it fails and who will follow up.

Data preparation

Review source records, mapping and data ownership. Identify missing or inconsistent information before loading it. Check trial loads with your team so the production plan includes reconciliation and a way to handle exceptions.

Testing

Use realistic transactions to check configuration, security roles and connected processes. Business users confirm the expected results. Track issues and retest corrections before the team makes readiness decisions.

User and administrator readiness

Prepare people for the tasks their roles require. Training and knowledge transfer should cover everyday use, common exceptions and administration. Agree who will answer questions and maintain the solution when the project moves into operations.

WORKING TOGETHER

The work needs both teams.

We agree responsibilities early so the right people can make time for the decisions the project depends on.

Inovium’s delivery team

Bring implementation experience and carry out the consulting, configuration and technical work in the agreed scope. Show working results, make dependencies visible and help your team assess readiness.

Your business and technical teams

Approve business rules and review realistic scenarios. Help with access, source data and connected systems. Involve administrators and representative users in testing and preparation for everyday use.

PLANNING THE PROJECT

Implementation questions

Can you help if we already have a system?

Yes. A new implementation, an existing configuration that needs improvement and an upgrade call for different work. Tell us what you use today and what needs to change. We can review the starting point and define an appropriate scope. See upgrade and migration services.

What should we have ready for an initial conversation?

Bring the applications involved, the processes you want to implement or improve, known deadlines and the people who own those processes. Existing requirements, examples of current difficulties and a list of connected systems are useful. You do not need a finished design to begin the discussion.

How long will the implementation take?

Timing depends on the applications and locations in scope, the rules to configure, integrations and data condition. Client availability for decisions and testing also matters. We review those factors before agreeing a delivery plan, rather than giving every project the same schedule.

How are scope changes handled?

New requirements need to be considered alongside the work already agreed. We review the effect on priorities, dependencies and delivery commitments with your team. That makes the decision visible before additional work is taken on.

Who decides whether we are ready to go live?

Your organization's decision owners approve readiness. We help make testing results, unresolved issues, transition tasks and responsibilities clear so they can make that decision with the relevant information.

What happens after go-live?

Go-live support and ongoing services are defined in the engagement. Agree who will investigate issues, maintain configuration and manage future changes before the transition. Explore support and configuration services.

Where can AI fit?

AI can be considered where administrative work or analysis would benefit from it. Useful applications depend on reliable information, appropriate access and clear human review. We treat that as a specific business requirement, with people responsible for the decisions. Read our approach to AI.
